LC-PCC policy statements for authorized access point for person

Prerecording

Prerecording

LC/PCC Core for authority records in the LC/NAF.

LC/PCC practice: Consult the PCC Post RDA Test Guidelines on the issues related to RDA and AACR2 authority records and their use in bibliographic records.

LC/PCC practice: Generally, do not change the authorized access point in an existing authority record coded "rda" that is fully established unless one or more of these conditions applies:

  1. a date of death is added to an authorized access point that has an open date of birth, or a date of birth is added to an authorized access point that has only a date of death
  2. the authorized access point must be changed to break a conflict with another authorized access point
  3. an error in the authorized access point must be corrected (e.g., "1979-" instead of "1970-")
  4. a person has requested a change to their authorized access point that can be accommodated by current cataloging instructions
  5. there has been a change in cataloging instructions affecting the authorized access point.
On rare occasions, a person requests that the formulation of their authorized access point be changed (e.g., to remove a date of birth or a fuller form of name). LC and PCC should attempt to honor such requests by changing the appropriate fields in the record, and indicate in a note that the person's preference has been followed. For instructions on updating authorized access points on records that are not coded "rda" (e.g., AACR2 or AACR2-compatible) see the PCC Post RDA Test Guidelines.

LC/PCC practice: See the Metadata Guidance documentation: Persons.

LC/PCC practice: See the Metadata Guidance documentation: Person: SES: Access point for person.

Recording a structured description

Option

LC/PCC practice: If an authorized form has been established in the LC/NACO Name Authority File, apply the option by recording that authorized form.

Option

LC/PCC practice: If no authorized form has been established in the LC/NACO Authority file, apply the option by (1) establishing a value of Person: access point for person as the authorized form in the LC/NACO Name Authority file, and/or (2) Recording a value of Person: access point for person on a bibliographic record.

Persons with two or more preferred names

Persons with two or more preferred names

LC/PCC practice: If a person has changed his or her name, choose the latest name or form of name as the preferred name unless the earlier name is likely to persist as the name by which the person is better known. Change the Person: authorized access point for person in the existing description; do not create a new description. In contrast, if a person has more than one identity, create instead a separate description for each identity, linking the descriptions with Person: alternate identity of person and Person: real identity of person. See the Metadata Guidance documentation for more information.
